As a Career Coach/Solution Focused Coach I am committed to maintaining the trust and confidence of my clients and visitors to my website. This Privacy Policy outlines how I collect, store, and use personal data in compliance with the General Data Protection Regulation (GDPR) and the UK Data Protection Act 2018. For the purposes of data protection laws, I am the “data controller” of your personal data and am registered with the Information Commissioner’s Office (ICO).

1. Information about the Data I Collect

I collect personal data that you provide to me when you:

  • Visit my website or engage with me via social media
  • Contact me via email or phone
  • Sign up for my coaching services
  • Participate in any online courses or workshops

This may include:

  • Name
  • Email address
  • Phone number
  • Billing information (for paid services)
  • Details relevant to coaching services, such as personal circumstances and goals

2. How I Use Your Data

I use your personal data to:

  • Provide my coaching services
  • Communicate with you regarding bookings, updates, and relevant service information
  • Handle billing and payment for my services
  • Improve and tailor your coaching services based on your feedback and needs

3. Lawful basis for processing your data

I will only process your personal data when I have a legal reason to do so. This happens in the following situations:

  • We have a contract, and I need to process your information to meet the obligations of that contract.
  • We have a contract, and I need to process your data so that you can fulfil certain requirements, like making a payment.
  • Even if we don’t have a contract yet, if you’ve asked me to do something (such as providing a quote or information about my services), I may need to process your data to take that first step. This applies even if we don’t end up signing a contract, as long as the processing was part of moving towards one.

As the processing of your personal data is required to enable me to provide you with a service, I do not require consent from you to hold your information securely or to provide you with my coaching services.

4. How I Store Your Data

Hardcopy documents – Are all stored in a locked cabinet in a locked room.

Text messages – My work phone is secured with a pin code.

Emails – My email account requires a username and password.

Email attachments – Any attachments sent by email to you containing your personal information would be password protected and the password would be sent to you via text message.

Electronic documents – Any electronic documents are password protected and stored on a password protected computer if they contain personal or sensitive information.

5. Third party information sharing

SupervisionI have regular supervision as part of my professional practice, and I may discuss elements of our sessions with my supervisor. During these discussions I do not disclose any details that may identify you to my supervisor, and my supervisor also adheres to the GDPR.

Exceptions In order to safeguard you and the people around you, if you were to disclose that you were going to carry out harm to yourself or someone else, then under my “Duty of Care” I am obligated by law to inform the relevant authorities. This is to support you to live well, and I would always aim to discuss this with you prior to contacting anyone. If I was issued with a police warrant or court order for your information, by law I would also have to provide them with your information.

6. Data Retention

I will retain your personal data only for as long as necessary for the purposes I have outlined. When no longer required, all of your paper records will be shredded with a cross-shredding machine and any electronic data such as emails or text messages would be permanently deleted from the devices they are stored on.

Under the GDPR you can make a request in writing to me, for all your records to be deleted. In this case I would have to save the request for deletion you made but would not save any other data. In some circumstances my insurance companies’ legal team may want to verify information I process.

7. Your Rights

Under the GDPR, you have several rights concerning your personal data:

  • Access: You have the right to request access to the personal data I hold about you.
  • Correction: You can ask me to correct or update your data if it is inaccurate or incomplete.
  • Erasure: You can request that I delete your personal data in certain circumstances. In this case I would have to save the request for deletion you made but would not save any other data. In some circumstances my insurance companies’ legal team may want to verify information I process.

8. Changes to this Policy

I may update this policy from time to time to reflect changes in my business or legal requirements. I encourage you to review this policy periodically.
